# Alerts reference

> Every alert the app can show, what it means, what data makes it appear, and how to make it go away.

The app reads your data and makes alerts from it. You cannot create, edit, or delete an alert. To make one go away, fix the data behind it. You can also hide it for a while. See the [Alerts page](/desk/alerts) for hiding and sounds.

A few words used below:

* A **lot** is one buy of one product.
* **Sent to FBA** is the order status that says you shipped a lot to Amazon.
* **Break even** is the point where sales have paid back what you spent.
* A **reimbursement** is money Amazon pays you for units it lost or broke.

Some titles hold a product name. The app cuts the name short. It keeps the part before the first comma or open bracket.

Each alert below has five parts. **You see** is the title, word for word. **Under it** is the small line below the title. **Means** says it in plain words. **Shows when** is the data that makes it appear. **To fix** is how to make it go away.

## Purchases

    **You see:** "3 units never arrived on orders marked done".

    **Under it:** "Supplier sent fewer than you paid for, or nobody counted them in. Open each order and enter how many actually arrived".

    **Means:** An order is marked done. But fewer units were counted in than you ordered.

    **Shows when:** An order has the status Received, Prepped, or Listed. Its ordered units, minus received units, minus written-off units, is more than zero. The title adds up the gap across all such orders.

    **To fix:** Open Purchases. It opens with the short orders in view. On each one, enter the number that really came. If units never came, use Resolve missing to write them off. They then show in the Write-offs tab. They no longer count as missing.

  <Accordion title="N purchase orders still unreceived after 30 days">
    **You see:** "1 purchase order still unreceived after 30 days".

    **Under it:** "\$75.00 still out. Follow up on the order". The money is the total cost of those orders.

    **Means:** You paid for an order at least 30 days ago. Nothing has come.

    **Shows when:** An order is dated 30 or more days ago, in your time zone. Its received count is zero. Orders marked Cancelled, Received, Prepped, or Listed are not counted.

    **To fix:** Chase the seller. When the goods come, receive them on the order. If they will never come, cancel the order or write off the units.

  <Accordion title="N partial orders still short after 30 days">
    **You see:** "1 partial order still short after 30 days".

    **Under it:** "\$90.00 on orders that never finished arriving". The money is the total cost of those orders.

    **Means:** Part of an order came. The rest is still missing after 30 days.

    **Shows when:** An order is dated 30 or more days ago. Some units are received, but fewer than you ordered. The same statuses as above are left out.

    **To fix:** Receive the rest when it comes. If it will never come, write off the missing units with Resolve missing.

  <Accordion title="Forgot to mark Sent to FBA?">
    **You see:** "Forgot to mark Sent to FBA?".

    **Under it:** "Amazon is holding stock that is not linked to a Sent-to-FBA purchase. 6 products · 6 orders. Open Purchases and mark the oldest Prepped or Ordered lot as Sent if you already shipped it".

    **Means:** Amazon has units of a product. None of your Sent to FBA orders explain them. Most likely you shipped a lot but never changed its status.

    **Shows when:** Amazon's count of a product is higher than the units on your Sent to FBA orders. The count is stock on hand, plus units that sold or left. Or Amazon's shipments list more units than those orders. And you have an order that could explain the gap. That order is marked Partial received, Received, or Prepped. If there is none of those, it can be one marked Ordered or Shipped. The app picks the oldest such orders first.

    **To fix:** Open the order the app points to. If you did ship it, mark it Sent to FBA.

  <Accordion title="Amazon holds units your Sent-to-FBA counts missed">
    **You see:** "Amazon holds units your Sent-to-FBA counts missed".

    **Under it:** "2 orders across 1 product. Update the received count".

    **Means:** Every order for this product is already Sent to FBA. Still, Amazon holds more units than your received counts add up to. So the units did come. You did not count them in.

    **Shows when:** All orders for a product are Sent to FBA. No order on hand could explain the gap. Amazon's count is higher than the total received count on those orders. Only orders with a received count below the ordered count are flagged.

    **To fix:** Open the flagged orders. Raise the received count to what really came.

  <Accordion title="Amazon recorded more inbound than you marked Sent">
    **You see:** "Amazon recorded more inbound than you marked Sent".

    **Under it:** "1 product · Amazon has 4 more than Sent to FBA marks".

    **Means:** Amazon's shipments for this product hold more units than you marked as sent. No other order of yours can explain it. Inbound means goods on their way into Amazon.

    **Shows when:** For one product, Amazon expected more units than your Sent to FBA orders show. Or Amazon counted in more units at the dock than those orders show. And you have no order on hand or on the way that could be the missing one.

    **To fix:** Check the shipment in Seller Central. Then fix the number on the order. Or mark the right lot Sent to FBA.

  <Accordion title="You marked more Sent than Amazon recorded as shipped">
    **You see:** "You marked more Sent than Amazon recorded as shipped".

    **Under it:** "1 product · 2 extra units on Sent to FBA. Check a cancelled inbound or a quantity typo".

    **Means:** Your Sent to FBA orders claim more units than Amazon has any shipment for.

    **Shows when:** For one product, the units on your Sent to FBA orders are more than the units Amazon expected. Amazon's number comes from all of its shipments for that product.

    **To fix:** Fix the number on the order. If units never made it into a shipment, write them off.

## Recovery

Recovery alerts read your lots in Capital Recovery. Three of them look at products: sitting, has not sold, and behind pace. Those three only check products with an open lot. Once every lot for a product is complete or written off, those three stop for it.

    **You see:** "Amazon counted fewer at the dock than they recorded as shipped".

    **Under it:** "1 product · 2 fewer at Amazon's warehouse than the shipment promised. Open a Seller Central case (Inventory → Reconcile shipment)".

    **Means:** A shipment is closed. But Amazon checked in fewer units than the shipment said it would carry. The rest went missing on the way in.

    **Shows when:** Closed shipments for a product expected more units than Amazon received. Paid-back, lost, and damaged units do not cover the gap. And Amazon's count on hand does not add up to what you sent.

    **To fix:** In Seller Central, open Inventory, then Reconcile shipment. File a case. When Amazon finds the units or pays you back, the alert clears. The link opens Capital Recovery with the dock view on.

  <Accordion title="Amazon received these units, then they disappeared from sellable stock">
    **You see:** "Amazon received these units, then they disappeared from sellable stock".

    **Under it:** "1 product received at the warehouse, then gone from sellable stock with no matching sale". It adds that this is often damage, loss, or a removal. It may be worth a reimbursement.

    **Means:** Amazon checked units in at the dock. Now it holds fewer. No sale explains the drop.

    **Shows when:** For one product, Amazon checked in more units than it holds now. The app first adds back units that sold, were lost, damaged, or thrown out.

    **To fix:** In Seller Central, check the inventory changes for that product. If Amazon lost or broke the units, file a claim. When Amazon marks them found or pays you back, the alert clears. The link opens Capital Recovery with the warehouse view on.

  <Accordion title="Product has not sold">
    **You see:** "Bigelow K-Cup Portion Pack has not sold".

    **Under it:** "10 units, no first sale in 24 days".

    **Means:** You bought this product three weeks ago or more. Not one unit has sold.

    **Shows when:** A product has an open lot and zero units sold. It has been 21 or more days since the earliest buy date of its lots. It does not fire when the sitting alert below covers that product.

    **To fix:** Make the first sale. Reprice it, or check the listing. If the lot is dead, mark it complete or write it off in Capital Recovery. The link opens Capital Recovery on that product.

  <Accordion title="N products have not sold">
    **You see:** "5 products have not sold".

    **Under it:** "No first sale yet. Oldest has sat 40 days. Open Capital Recovery and work the oldest lots first".

    **Means:** Four or more products have the "has not sold" problem above. The app rolls them into one alert. That way they do not crowd out the rest.

    **Shows when:** Four or more products qualify for "has not sold". Products you have hidden are not counted. Hide single products until fewer than four are left, and this alert goes away. The single alerts then come back.

    **To fix:** Work the oldest lots first, as the alert says. Each first sale lowers the count.

  <Accordion title="Product is behind pace">
    **You see:** "Bigelow K-Cup Portion Pack is behind pace".

    **Under it:** "At the current sales rate, money back is \~9 months out · 30 more to sell. Slower than your other buys".

    **Means:** This product sells, but too slowly. At today's rate, it will take more than six months to get your money back.

    **Shows when:** A product has sales and units still to sell. Its time to break even is more than 6 months. The rate is units sold per 30 days since the earliest buy date. Less than one month shows as weeks.

    **To fix:** Sell faster. Reprice, or run a promotion. The alert clears when break even drops to 6 months or less. It also clears when the lot sells out.

  <Accordion title="Product sitting N days">
    **You see:** "Bigelow K-Cup Portion Pack for Keurig Brewers sitting 38 days".

    **Under it:** "10 units with you · $90.00 still in" or "10 units at Amazon · $90.00 still in". "Still in" is the money you have not yet got back.

    **Means:** You bought this product more than a month ago. Units are still sitting unsold.

    **Shows when:** It has been 30 or more days since the earliest buy date of the product's lots. Units are still sitting. If Amazon holds units it can sell, the alert says "at Amazon". If not, but you still have units, it says "with you". This alert wins over "has not sold" and "behind pace" for the same product.

    **To fix:** Ship the units to Amazon if they are with you. Reprice if they are at Amazon. The alert clears when no units are left to sell.

  <Accordion title="Recovery figures are stale">
    **You see:** "Recovery figures are stale".

    **Under it:** "Last full sync was 9 days ago".

    **Means:** Capital Recovery has not done a full check with Amazon for a week or more. Its numbers may be out of date.

    **Shows when:** The last full sync ended 7 or more days ago.

    **To fix:** Open Capital Recovery. If the sync keeps failing, check your Amazon link on Connections.

  <Accordion title="Recovery sync failed">
    **You see:** "Recovery sync failed".

    **Under it:** "Last full sync was 3 days ago". If a sync never finished, it says "Capital Recovery has not checked Amazon recently".

    **Means:** The last try to read your Amazon data failed.

    **Shows when:** The sync status from Amazon reports an error.

    **To fix:** Check your Amazon link on Connections. Reconnect it if the status says it needs attention.

  <Accordion title="Unreimbursed inventory">
    **You see:** "Unreimbursed inventory".

    **Under it:** "1 item lost or damaged without a reimbursement · \$9.00".

    **Means:** Amazon lost or broke your units. It has not paid you for them.

    **Shows when:** There are lost or damaged units, or money at risk, with no matching reimbursement. Written-off lots are not counted.

    **To fix:** File a claim with Amazon. When Amazon pays, or finds the units, the alert clears. The link opens Capital Recovery with those items in view.

## Vault

  <Accordion title="Product now at N% after sitting N days">
    **You see:** "SmartMouth Mouthwash Packets now at 98% after sitting 90 days".

    **Under it:** "Background refresh. Limited pick if you want something fresh".

    **Means:** You saved this prospect a month or more ago. Now it shows a good return. The price refresh found it, not you. It may be worth a second look.

    **Shows when:** An active prospect has sat in your Vault 30 or more days. Its price was refreshed after you added it. Its ROI is now 20% or more. The app picks at most three such prospects. It takes the ones with the highest ROI.

    **To fix:** Open the prospect. The link opens the Vault with a search for its ASIN. Buy it, or archive it if you have moved on. Hide it if you want to keep it but stop the alert.

## Scout

Scout does not make alerts yet. The SCOUT group on the Alerts page stays hidden until it does. New Scout finds show on the Command desk under Live from Scout. They also show as a count on the Scout pill.

## How alerts are ordered

The app ranks alerts. It keeps that order on the Command desk and on the Alerts page. From top to bottom:

1. Units never arrived on orders marked done.
2. Orders unreceived after 30 days.
3. Partial orders short after 30 days.
4. Amazon counted fewer at the dock.
5. Forgot to mark Sent to FBA?
6. Amazon received units, then they disappeared.
7. Unreimbursed inventory, and the two sync alerts.
8. Vault margin picks.
9. The other Purchases alerts.
10. Product alerts from Recovery: sitting, has not sold, behind pace.

The Alerts page groups by source first. Inside each group it keeps this order.
