# Expenses

> Add the costs Amazon never sees, like software, prep, and supplies, so your net profit on Sales and Capital Recovery is your real profit.

## In short

Expenses holds the costs Amazon never sees, like software, prep and supplies. SourceDock takes them off your profit on Sales and Capital Recovery.

Say you paid \$60.00 for a label printer in September. Add it once as a one-time cost. The September card then shows **One-time** \$60.00 and **Total off profit** \$60.00.

Click your picture, then **Expenses**, or press **E**. For one made-up month walked through every expense, see [Step by step](#step-by-step) below.

![The month card for September 2026, with an arrow on each side: Total off profit \$60.00, Recurring \$0.00, One-time \$60.00, and +\$60.00 vs Aug.](https://mintcdn.com/sourcedock/g6QTK-EfTuTYg92B/images/deep-dives/expenses-in-depth/01-printer-month-card.png?fit=max\&auto=format\&n=g6QTK-EfTuTYg92B\&q=85\&s=38758dc674860bd912e42d1b6f30e9e0)

Label printer: the month card stepped back to September 2026, the month it was paid. Notice One-time $60.00 and Total off profit $60.00.

## More details

> [accordion] A quick example
>
> Say you pay \$30 a month for a repricing tool and \$15 for boxes and tape. Amazon doesn't know about these costs, so they aren't in Amazon's numbers. Add them here, and SourceDock takes them off your profit on the Sales and Capital Recovery pages.
>
> Click your picture, then **Expenses**. Or press **E** anywhere in the app. You can also put Expenses on your bar in **Account** > **Features**.

> [accordion] Add an expense
>
> **1. Pick how often**
>
> Pick **One-time**, **Weekly**, **Every 2 weeks**, **Monthly**, **Every 3 months**, or **Yearly**. It starts on **Monthly**.
>
> **2. Name it and type the amount**
>
> For example, "Repricing tool" and 30.00.
>
> **3. Pick the day**
>
> For a repeating cost, the **Start date**. For a one-time cost, the **Date charged**. It starts on today.
>
> **4. Add it**
>
> Click **Add**, or press Enter. A message says **Expense added**, with **Undo**.
>
> You can also add one while you're on Purchases: open **Expenses** there and click **Add expense**.

> [accordion] Spread a cost over its days
>
> Turn on **Amortize daily** to spread a cost evenly over the days it pays for, instead of counting it all on the day it's charged.
>
> Say you pay \$70 for a tool every week. With **Amortize daily** off, all \$70 counts on the day you're charged. With it on, \$10 counts each day of the week. For a one-time cost, pick **Spread through**: the last day it pays for.

> [accordion] The page
>
> The grid shows 12 months. Use **Previous month** and **Next month** to move. Click a month to see what was **Charged in** that month. Click a repeating cost's name to change it:
>
> * Change its **Price**. SourceDock asks if the new price starts from a month on, so earlier charges keep the old price, or if it was a typo to fix every month.
> * **Stop after** a month, when you cancel that tool. **Keep charging** undoes it.
> * **Delete** it. You can **Undo**.
>
> ### Import and export
>
> Click **Import** to bring in a file of expenses: a Sellerboard expenses file, a file you exported from this page, or any file with a date, a name, and an amount. You can **Undo import** for 30 days. **Export** downloads your expenses as a CSV file.

> [accordion] How expenses change your profit
>
> * **Sales**: net profit is gross profit less your expenses. Each cost counts in full on the day it's charged, or a little each day when you spread it.
> * **Capital Recovery**: the profit card becomes **Net profit** or **Net loss** once there are expenses in its dates. It counts only costs charged up to today, not ones still to come.
>
> Expenses belong to your whole store, not to one product, so a product's own profit doesn't change.
>
> Each expense belongs to one store, in that store's money. It isn't added to your other stores.

> [accordion] Rules
>
> * An amount must be more than \$0 and at most \$1,000,000, in whole cents.
> * A cost charged on the 31st falls on the last day of a shorter month.

> [accordion] Plans and team members
>
> Expenses come with the Sales dashboard or Capital Recovery, which are part of Pro. A Premier trial has them too. A team member can open Expenses when the owner shared Sales or Recovery with them.

## Step by step

> [accordion] About this walk-through
>
> > [!NOTE]
> >
> > **Scenario for the walk-through:** The pictures come from the demo store. The March story below is made up.
> >
> > * Boxes and packing tape: a one-time \$40.00, paid 120 days before the seed day.
> > * Label printer: a one-time \$60.00, paid 45 days before the seed day.
> >
> > Find them in the demo store under Expenses: open the **One-time** row in the grid, or step back with the month arrows to the month each was paid.
>
> An expense is a cost you type in. Amazon does not send it, and each expense belongs to one store.
>
> You sell a blender and a toy truck. The store is in the US, so amounts use \$. Today on the store's clock is March 18, 2026.

> [accordion] One month, three costs
>
> You add three costs. **Amortize daily** stays off for all three, so each charge counts in full on its charge day.
>
> "Blender boxes" is one-time. The amount is \$40.00, and the day is March 25, 2026. It counts on March 25 only.
>
> "Toy truck labels" is monthly. The amount is \$60.00, and the start date is February 20, 2026, with no last charge. It charges on February 20, March 20, April 20, and the 20th of every month after that.
>
> "Shelf tape" is a monthly bill you bring in from a file. The amount is \$18.00. It starts February 2, 2026, and has no end, so it charges on the 2nd of every month.
>
> The Expenses page counts every charge in the calendar month, even days still ahead. March has three charges.
>
> * "Toy truck labels" on March 20 is \$60.00.
> * "Shelf tape" on March 2 is \$18.00.
> * "Blender boxes" on March 25 is \$40.00.
>
> \$60.00 + \$18.00 + \$40.00 = \$118.00. That is **Total off profit** for March. The two bills repeat, and \$60.00 + \$18.00 = \$78.00, so **Recurring** is \$78.00. The boxes are **One-time**, \$40.00.
>
> February has the labels and the tape: \$60.00 + \$18.00 = \$78.00. March is \$40.00 more, so the card says "+\$40.00 vs Feb". April has the two bills again, \$78.00, and no boxes.
>
> Other pages count other days, so their totals differ. You will see them later in this walk-through.

> [accordion] Open Expenses
>
> Expenses starts in the account menu. Open the account menu, then **Expenses**. You can also press **E** on any page, as long as you are not typing in a box.
>
> To put it on the bar, open **Account**, then **Features**, then **Navigation bar**. Click the **Expenses** tile. Its hover says **Add to the bar**.
>
> The page title is **Expenses**. With no store, it says **Connect an Amazon store first. Each expense belongs to one store.**
>
> From the top, you see the month card, the add row, the legend with **Import** and **Export**, the 12-month grid, and the list for the month you picked. In March 2026 the grid runs from June 2025 through May 2026, and March is the 10th column. The card's title reads "March 2026", with an arrow on each side. A screen reader calls the arrows **Previous month** and **Next month**.

>
> **1. Add the boxes**
>
> In the first box, pick **One-time**. A screen reader calls that box **Repeats**. Then pick March 25 in the day box. On a wide screen it shows "Mar 25, 2026", and a screen reader calls it **Date charged**.
>
> Type "Blender boxes" in the name box. When it is empty, it says **New expense name**. Type "40.00" in the amount box. A US store shows \$ in front. Press **Add**.
>
> The toast title is **Expense added**, with the name under it. **Undo** removes the expense, and the next toast says **Undone**. The name and the amount clear, and the page shows the new expense's month, "March 2026".
>
> **2. Add the labels**
>
> Pick **Monthly** in the first box. The amount now ends in "/mo". Pick February 20 in the day box. On a wide screen it shows "Feb 20, 2026", and a screen reader calls it **Start date**.
>
> Name it "Toy truck labels" and type "60.00". Leave **Amortize daily** off and press **Add**.
>
> The page moves to "February 2026", the start month. The right arrow brings you back to March.
>
> **Add** stays gray until the name and the amount can both be saved. A name is 1 to 200 characters, after spaces at the ends are cut. An amount can start with \$ and can have commas, with at most two decimal places.
>
> The amount must be more than \$0.00 and at most \$1,000,000.00. So "\$0", letters, or a third decimal keep **Add** gray. While it saves, **Add** shows a spinning wheel.
>
> A saved day is a real calendar day from January 1, 2000 through December 31, 2100. You can pick a day still ahead, so March 25 is fine on March 18.
>
> The first box offers **One-time**, **Weekly**, **Every 2 weeks**, **Monthly**, **Every 3 months**, and **Yearly**. The amount ends with nothing, "/wk", "/2 wks", "/mo", "/qtr", or "/yr" to match.
>
> ![An open list: One-time, Weekly, Every 2 weeks, Monthly with a tick, Every 3 months, and Yearly.](https://mintcdn.com/sourcedock/g6QTK-EfTuTYg92B/images/deep-dives/expenses-in-depth/03-repeats-menu.png?fit=max\&auto=format\&n=g6QTK-EfTuTYg92B\&q=85\&s=f45a371e02b5737248b390b9d71d0d8f)
>
> Demo store: the first box of the add row, opened. Notice the six choices, with Monthly ticked.
>
> The hover on **Amortize daily** says amortization spreads the expense evenly over the days it pays for, instead of counting it all on the day it's charged. This walk leaves it off.

> [accordion] Import the tape

>
> This file lists bills. Its headers are Name, Amount, Repeats, and Start date. A date column named Start date tells SourceDock that each row is one expense, just as written.
>
> | Name | Amount | Repeats | Start date |
> | - | - | - | - |
> | Shelf tape | 18.00 | Monthly | 2026-02-02 |
>
> "18.00" is \$18.00, and "Monthly" means every month. The file has no end date, so the bill keeps charging.
>
> The preview counts from the first start day through today, March 18. February 2 and March 2 are in, and April 2 is not. \$18.00 + \$18.00 = \$36.00.
>
> The line says "1 expense, Feb 2026 to Mar 2026, \$36.00 total". A note says "1 bill repeats, like a monthly tool, and shows as one line." The button says "Import 1 expense".
>
> After you press it, the toast title is **Expenses imported**, and its text is "1 expense is in. Sales and Capital Recovery count them now." The \$36.00 is the tape from February 2 through today. March's card counts only March, so the tape adds \$18.00 there.
>
> ### When a file has a problem
>
> A file needs a date column and an amount column. If either one is missing, the toast **Could not read your file** says SourceDock couldn't find a date column and an amount column. An old .xls file has to be saved as .xlsx or CSV first.
>
> A file can hold up to 20,000 expense rows and 20 MB. A bigger file is refused.
>
> A row is skipped when it is blank, a total line, \$0, money back, or has a date or an amount SourceDock can't read. A row that is totally empty is not counted at all.
>
> A row whose currency column names a currency the store doesn't use is skipped too. If the whole file names one other currency and you have only one store in that currency, the expenses go to that store instead, and a note says so.
>
> Dollar amounts written with \$, USD, CA\$, or CAD are read. An amount with a euro sign, or a decimal comma like "12,99", can't be read, so its row is skipped.
>
> A file with no how-often column counts each row as one-time. This file has Repeats, so "Shelf tape" is monthly.
>
> Drop the same file again, and the line says "All 1 expense in this file are already in SourceDock. There is nothing new to add." An expense already on the store also matches a row when the name, amount, repeat, and start day are the same.
>
> **Undo import** is offered for 30 days, and only for the store's latest import. After 30 days, or once another file comes in, the dialog stops offering it. An old **Undo** from a toast then shows **Could not undo the import**, with **There is nothing to undo. It's past 30 days, or another file was imported after it.**
>
> **Export** saves this store's expenses as a CSV. While it runs, the button says **Exporting...**. On a plan without export, the toast says **Export requires an upgrade**.

> [accordion] How a charge lands on a day
>
> Days are the store's dates, and both ends of a range count. With **Amortize daily** off, the whole amount lands on the charge day.
>
> A one-time expense charges on its day. "Blender boxes" is \$40.00 on March 25 and nothing on any other day.
>
> **Weekly** charges every 7 days, and **Every 2 weeks** charges every 14 days. **Monthly**, **Every 3 months**, and **Yearly** charge on the same day of the month, 1, 3, or 12 months apart.
>
> If a month has no such day, the charge uses that month's last day. The next month goes back to the first day number. A bill that starts January 31 charges January 31, then February 28 in 2026, then March 31.
>
> Nothing charges after the end day, but a charge that falls on the end day still counts. The month card uses the whole calendar month. That is why March 20 and March 25 are inside the \$118.00.
>
> ### Spread per day
>
> These examples are not part of the \$118.00. Turn **Amortize daily** on when you want a share of a charge on each day.
>
> A repeating charge covers its own day through the day before the next charge. The end day only picks which charges happen. It never makes a charge's days shorter.
>
> A \$62.00 monthly bill from March 1 has its next charge on April 1. So the charge covers March 1 through March 31, which is 31 days. \$62.00 / 31 = \$2.00 a day, and 31 × \$2.00 = \$62.00.
>
> The shares are whole cents. SourceDock rounds the running total down, so one day can get a cent more than another, and the shares always add back to the charge. A one-time \$10.00 spread over 3 days is \$3.33, \$3.33, and \$3.34, and \$3.33 + \$3.33 + \$3.34 = \$10.00.
>
> A one-time cost with **Amortize daily** on gets a second day box after an arrow, for the last day of the spread. In the cost's editor, that box is labeled **Spread through**. A one-time \$40.00 spread from March 6 through March 9 is 4 days, so each day is \$10.00.

> [accordion] March on the screen
>
> The card title is "March 2026". **Total off profit** is \$118.00, **Recurring** is \$78.00, and **One-time** is \$40.00. Beside them the card says "+\$40.00 vs Feb". While the list loads, each amount is a dash.
>

>
> Demo store: the legend above the grid. Notice the four marks, then Import and Export on the right.
>
> The grid's first column is headed **Recurring**. Both bills are active, so the bigger one comes first. "Toy truck labels" shows "\$60.00/mo · Active", and "Shelf tape" shows "\$18.00/mo · Active".
>
> A bill's cell does not print dollars, and its look follows the month. March is this month, so March's cells have the **Charged** look, even though March 20 is still ahead. February is **Charged** too. April is a later month, so April has the **Will charge** look.
>
> Hover a cell for the money. "Toy truck labels" in March says "Mar 2026 · \$60.00", and in April it says "Apr 2026 · \$60.00".
>
> **Active, not billed this month** is a thin line. It means the bill is running, but that month has no charge. A monthly bill charges every month, so these two rows never show it. An every-3-months bill that starts in March charges in March, skips April and May, and charges in June. Its April hover says "Apr 2026 · active, not billed".
>
> The **One-time** row shows a count, 1. March shows "\$40", and months with no one-time charge show a dot. Open the row, and "Blender boxes" says "Mar 25 · \$40.00".

> ### A new price
>
> You are on March. You type "75.00" in the labels' price box. The editor asks "Change Toy truck labels to \$75.00/mo?"
>
> "From March 2026 on" uses the first charge on or after March 1, which is March 20. The old price ends March 19, so February stays \$60.00. March's labels charge becomes \$75.00. March is now \$75.00 + \$18.00 + \$40.00 = \$133.00, and the card says "+\$55.00 vs Feb".
>
> The toast says "Toy truck labels is \$75.00/mo from March 2026", with **Undo**. The grid now has two "Toy truck labels" rows. The new one shows "\$75.00/mo · Active" and still charges on the 20th. The old one moves to the bottom and shows "\$60.00/mo · Stopped · last Feb 2026".
>
> **Every month (fix a typo)** changes every charge, February too. **Cancel** keeps \$60.00. In the bill's first month, the only yes button is **Yes, update it**, and it changes every charge.
>
> A one-time cost's new amount saves right away. The toast says the name is now the new amount, like "Blender boxes is now \$45.00", with **Undo**.
>
> ### Stop or delete
>
> "Stop after Mar" sets the last day to March 31, 2026. March 20 still counts, so the state becomes **Last charge this month**, and April has no charge. The toast says "Toy truck labels stops after March 2026". **Keep charging** clears the end, and the toast says "Toy truck labels keeps charging".
>
> **Delete** removes the expense. The toast title is **Expense deleted**, with the name and **Undo**. After **Undo**, the toast says **Expense is back**.

> * **Ad spend** has no total yet, so it shows a dash. The math uses \$0.00.
> * **Amazon fees** is -\$30.00.

> * **Gross profit** is \$120.00.
> * **Net profit** is \$102.00.
> * **Margin / ROI** is 51.0% / 204.0%.
>
> Gross profit adds the lines, and a cost is already negative: \$200.00 + \$0.00 + \$0.00 + \$0.00 + (-\$30.00) + (-\$50.00) = \$120.00. The \$18.00 is not in gross profit. Net profit is gross profit minus the expenses: \$120.00 - \$18.00 = \$102.00.
>
> Margin is net profit divided by sales, shown to one decimal: \$102.00 / \$200.00 = 51.0%. ROI is net profit divided by what the units cost: \$102.00 / \$50.00 = 204.0%.

>
> Label printer: More on the Sales page's Last month tile, the month it was paid. Notice the expenses line reads -\$60.00.
>
> **More** opens the lines the tile leaves out. **Expenses recorded by you** is -\$18.00, and **Estimated payout** is \$170.00. Here the payout is \$200.00 + (-\$30.00) = \$170.00. It leaves out what the units cost you, and it leaves out your expenses too, since you pay them outside Amazon.
>
> The expenses hover says these costs come off net profit, not gross profit or the payout. In these days, it lists "Shelf tape \$18.00".
>
> **Full ledger →** opens every line. There, the ad line is named **Advertising cost** and the cost line is named **Cost of goods**. **Expenses recorded by you** sits under **Gross profit** and above **Net profit**.
>
> ### Products never carry expenses
>
> The product table does not give the blender any of the store's expenses. The blender's **Net profit** is \$120.00, its **Profit margin %** is 60.0%, and its **ROI** is 240.0%. Open its row, and its own ledger shows **Expenses recorded by you** as \$0.00. That hover says the expenses belong to the whole store, so no product carries them.
>
> **Store fees (no product)** shows under the products when the list is not filtered and that row has money. Here it carries the -\$18.00, so its **Net profit** is -\$18.00. It has no sales, so its margin and ROI are a dash.
>
> The total row, "Total · Month to date", is the tile itself. The blender's \$120.00 plus the store row's -\$18.00 is its \$102.00 net profit.
>
> The chart's net bars take off each day's expenses. On month to date, March 2's bar is \$18.00 lower. March 20 and March 25 are after today, so no bar has them. On an hourly chart, a day's expense sits on its first hour.
>
> ### Sales, this month
>
> The **This month** tile has a **Forecast** mark beside it. Its expense days run from March 1 through March 31, so charges still to come are in. Its **More** shows **Expenses recorded by you** as -\$118.00, which matches the Expenses page.
>
> The tile's sales, fees, and cost are SourceDock's forecast for the whole month. This walk-through does not fill those in, so do not read its net profit as \$102.00. The \$102.00 belongs to month to date.
>
> A custom range on Sales can't end after today, so on March 18 you can't set March 1 through March 31 there. **This month** is the tile that counts the later charges.
>
> ### Capital Recovery
>
> Capital Recovery shows the money for units you bought in the days you pick. It takes off the expenses charged in those same days, but never past the store's today. A charge still ahead is left out, and a product's own profit never takes these store costs.
>
> Set the start and end dates to March 1 through March 18. The calendar won't let you pick a day after today. Only the \$18.00 for "Shelf tape" is in those days.
>
> Say the units you bought in those days brought back \$250.00 and cost you \$50.00, with no ads paid outside Amazon. The Profit card's hover adds it up: **Cash recovered** \$250.00, **What the sold units cost** -\$50.00, and **Profit on what sold** +\$200.00. \$250.00 + (-\$50.00) = \$200.00.
>
> Then it takes off **Expenses recorded by you**, -\$18.00. The card's name becomes **Net profit**, and its big number is +\$182.00, because \$200.00 - \$18.00 = \$182.00. Under the name, two lines show **Profit on what sold** +\$200.00 and **Expenses recorded by you** -\$18.00. The card's ROI and margin use the net profit too.
>
> With no expenses in the days, the name stays **Profit on what sold**. If the sold units have no cost yet, the card says **No cost yet**.
>
> A note in the hover says the expenses are the ones charged from "Mar 01, 2026" to "Mar 18, 2026". The "?" beside the expenses line lists them, biggest first, up to 8, then one row for the rest. Here the only line is "Shelf tape".
>
> **All time** runs from the first start day through today, so February 2 through March 18. Its charges are the tape on February 2 (\$18.00), the labels on February 20 (\$60.00), and the tape on March 2 (\$18.00). \$18.00 + \$60.00 + \$18.00 = \$96.00, and March 20 and March 25 are not in it.
>
> ### The Desk
>
> The Desk's date menu sits on **Found for you** and opens on **Last 30 days**. A screen reader calls it **Dates**. The choices are **Last 3 days**, **Last 7 days**, **Last 30 days**, **Last 90 days**, **This year**, and **All time**.
>
> These choices use this computer's calendar. **Last 30 days** is 30 whole days, with today last. When the computer and the store both say March 18, 2026, that is February 17 through March 18. Capital Recovery stops at the store's today, the same March 18.
>
> In those days are the labels on February 20 (\$60.00) and the tape on March 2 (\$18.00). February 2 is before February 17, and March 20 and March 25 are after March 18. \$60.00 + \$18.00 = \$78.00.
>
> The expenses tile is **Expenses recorded by you**, shown as -\$78.00. Its hover names "Toy truck labels \$60.00" and "Shelf tape \$18.00", and says they come off the profit on what sold.
>
> Say the profit on what sold, for purchases in those days, is \$200.00. The profit tile is **Net profit**, shown as \$122.00, because \$200.00 - \$78.00 = \$122.00. Its hover says "Profit on what sold +\$200.00, minus \$78.00 in expenses recorded by you, is a net profit of \$122.00."
>
> That \$122.00 is a different window from Capital Recovery's +\$182.00 above, because the expenses in this window are \$78.00, not \$18.00. The Desk's Capital Recovery card follows purchase dates and uses this same expense rule.

> [accordion] Which plans include Expenses
>
> The page opens when the plan has the Sales dashboard or Capital Recovery.
>
> **Pro** has both, so Expenses is open. **Flagship** has both too. A seller already on Flagship keeps it, but a new seller picks Premier or Pro.
>
> **Premier** has both only during its 14-day trial, so the page is open during those days. After the trial, Expenses leaves the menu and **E** stops working. The page itself says **Expenses is included on Pro**, then **Upgrade to Pro to turn it on. Nothing you have recorded is affected.** with a **See plans** button. A teammate sees the first line, a note to ask the owner, and no button.
>
> A Premier plan that kept the Sales dashboard still has Expenses, since the Sales dashboard is enough.
>
> **Export** has its own rule. Premier can't export, even in the trial, and **Export** shows the toast **Export requires an upgrade**. Pro and Flagship can export.
>
> A teammate sees the page when the owner shares Sales or Capital Recovery with them. Then they can add, change, import, and delete expenses. Neither page has a view-only choice; only Purchases does.
>
> An expense stays on the store where you saved it. A Canada store shows CA\$ instead of \$.
>
> > [!NOTE]
> >
> > Purchases has an **Expenses** drawer with this month's expenses only. Its add row asks for a **Category**, and its one-time day is named **Date**. Its button is **Add expense**. The main Expenses page does not ask for a category.
